Bring the material the meeting needs

  • The version of the term sheet approved for discussion
  • Supporting material needed to explain a specific point
  • An agreed participant list and record-handling instructions

From preparation to review

  1. Before the session

Confirm the correct document version, authorized participants, and advisers who should attend. Agree on confidentiality and whether the conversation should be recorded. Prepare only the supporting material needed for this review.

  2. Inside the room

Walk through the document in the shared workspace and discuss the points that need clarification. Keep the meeting’s working notes distinct from the official document and the process used to approve any change.

  3. After the meeting

Send agreed changes and next steps through the designated document process. Apply the selected retention policy to any authorized session record. Do not assume the meeting itself determines which terms are agreed or legally effective.

Keep the conversation beside the terms

A term-sheet discussion can move between commercial intent, definitions, and the practical effect of a proposed change. Reviewing the same material together makes it easier to identify which question the group is answering.

Qube supplies the shared meeting environment. Your advisers and established document process remain responsible for legal interpretation, approval, signatures, and the authoritative version of the terms.

Choose the meeting record deliberately

Some parties may prefer an unrecorded discussion with agreed written follow-up. Others may authorize a retained meeting record. Resolve that choice before the session rather than leaving it to a default assumption.

Supported presentation controls can reduce particular software-capture risks, but they do not stop every physical recording or later disclosure. Review those limits alongside your confidentiality and document-handling arrangements.

Questions before the meeting

Does Qube replace a data room or document-signing service?

This page describes a live review workspace, not a complete transaction platform. Keep the authoritative documents, approvals, and signatures in the process chosen by the parties and their advisers.

Should a term-sheet review be recorded?

Agree with the participants and advisers before the meeting. If a record is authorized, define who may access it and how retention applies. This page does not provide legal advice about whether to record.

Does closing the room delete the retained review record?

The temporary workspace and any authorized retained record have different lifecycles. Confirm the actual retention policy rather than assuming all information disappears when the live session ends.

Understand the protection you will use

Qube runs the shared work in a trusted cloud session. Protection of the delivered view and audio depends on the client and policy. Check the intended devices, physical-capture risks, and authorized recording arrangements before sensitive work.

Read the protection coverage and retention policy. Destruction of the temporary workspace is separate from retention of an authorized meeting record.
