Terms of Service

Effective October 20, 2026

These terms govern access to Qube protected cloud rooms, the shared Qube Computer, meeting security controls, authorized records, review tools, APIs, and embedded players (together, the “Service”).

1. Acceptance of terms

By accessing or using the Service, you agree to these Terms of Service. If you use the Service for an organization, you represent that you are authorized to accept these terms for that organization. If you do not agree, do not use the Service.

2. The Service

Qube is a protected cloud room for high-stakes meetings. A room can combine live meeting media, a shared cloud computer, applications, files, protected delivery, participant and environmental controls, session-specific forensic marks, and an authorized review record. Organizations use Qube for security and compliance, recruiting and talent, vendor and external-team work, and legal, tax, and advisory meetings.

Features, compatibility, and protection levels vary by plan, room configuration, browser, operating system, hardware, and location. The host is responsible for choosing the controls appropriate to the meeting and confirming that participant devices meet the required policy before sensitive material is shown.

3. Eligibility

You must be at least 18 years old and legally able to enter these terms. The Service is for organizations and professional meetings and is not directed to children under 16. An organization may impose additional eligibility, identity, confidentiality, or participation requirements for a room.

4. Accounts, organizations, and rooms

Account holders are responsible for accurate account information, credential security, organization membership, room settings, invitations, permissions, and activity performed under their accounts. Hosts are responsible for admitting the correct participants and removing access when it is no longer needed. Notify Qube promptly if you suspect unauthorized account or room access.

5. Participant notice and authorization

The organization and host are responsible for giving participants all notices and obtaining all permissions required for meeting media, recording, transcription, shared-computer activity, security events, a paired surroundings view, acoustic safeguards, forensic marks, review, and retention. Do not enable a control when the organization lacks the legal right or participant authorization required to use it.

6. Acceptable use

You may not use the Service to:

  • Break the law, violate another person’s rights, or handle content unlawfully.
  • Capture, mirror, extract, or distribute protected content outside the permissions established by the host and content owner.
  • Disable, bypass, probe, reverse engineer, or interfere with protected playback, encryption, access controls, security events, forensic marks, or cloud execution.
  • Upload malware, attack the Service, or disrupt another room or participant.
  • Use Qube for covert surveillance, unlawful biometric profiling, discrimination, or observation beyond the notice and consent provided to participants.
  • Misrepresent identity, authority, security results, or evidence from a room.

7. Customer content and authorized records

You retain ownership of content you submit to Qube and authorize Qube and its service providers to host, process, transmit, protect, reproduce, and display that content as needed to operate the Service. You are responsible for having the rights required to place content in a room and for deciding who may access or retain it.

The organization controls the authorized room record and is responsible for its use, review, disclosure, export, and retention. Security events and forensic identifiers provide context and traceability; they do not independently establish intent, wrongdoing, compliance, legal privilege, or a hiring decision.

8. Disposable rooms and retained data

Closing a disposable room destroys its temporary cloud computer and workspace. It does not automatically delete account records, security events, exported artifacts, or an authorized recording or transcript. Those records follow the organization’s selected retention policy and the Qube Privacy Policy.

9. Qube intellectual property

Qube and its licensors own the Service, including its software, room architecture, security controls, forensic-mark tooling, APIs, interfaces, documentation, and branding. These terms grant a limited, non-exclusive, non-transferable, revocable right to use the Service as intended. They do not transfer ownership of the Service or permit copying, modification, decompilation, or disassembly except where applicable law does not allow that restriction.

10. Subscriptions and payment

Paid plans are billed in advance for the selected period. Fees are non-refundable except where required by law or stated in an order. Qube may change prices for a later renewal by providing at least 30 days’ notice. Failed payment may result in suspension or termination.

11. Suspension and termination

You may stop using the Service or close an account subject to any order terms. Qube may suspend or terminate access for breach, non-payment, security risk, unlawful use, or if continued operation is no longer commercially viable. Rights and obligations that should survive termination—including payment, intellectual property, disclaimers, liability, indemnity, and dispute terms—will survive.

12. Security boundary and customer responsibility

Qube is designed to keep protected room content away from ordinary local AI and recording tools on qualified devices. Protection depends on the selected room policy and the browser, operating system, hardware, media path, output path, participant environment, and correct use of the Service. External cameras, microphones, human relay, compromised credentials, misconfiguration, and other physical or human attacks remain possible.

You are responsible for testing the actual participant devices and capture paths in scope, applying appropriate access and confidentiality rules, reviewing security events in context, and maintaining authoritative records in the systems required by your organization or profession.

13. Disclaimers

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, Qube disclaims express and implied warranties, including merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation. Qube does not guarantee that every unauthorized capture, leak, impersonation, policy violation, security event, or physical attack will be prevented or detected.

14. Limitation of liability

To the maximum extent permitted by law, Qube will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, use, or goodwill. Qube’s total aggregate liability for claims arising from the Service will not exceed the greater of 100 US dollars or the fees paid to Qube in the 12 months before the claim.

15. Indemnification

You agree to defend, indemnify, and hold harmless Qube and its officers, directors, employees, and agents from claims, damages, obligations, losses, and reasonable legal expenses arising from your content, use of the Service, breach of these terms, or violation of law or a third party’s rights.

16. Governing law and disputes

Delaware law governs these terms without regard to conflict-of-law rules. Disputes relating to the terms or Service will be resolved exclusively in the state or federal courts located in Wilmington, Delaware, and you consent to those courts’ jurisdiction.

17. Changes to these terms

Qube may update these terms. Material changes will be announced by email, in the dashboard, or through another clear notice at least 30 days before they take effect. Continuing to use the Service after the effective date means you accept the updated terms. You may stop using the Service before that date if you do not agree.
